COMPANY  BACKGROUND

This is a company with large document volumes.

They didn’t have a history of proper records filing management.

We carefully examined their needs, requirements and guided them through the process of how they could keep files classified for safe custody.

PROBLEM:

The staff were doing other administrative  duties not related to records management.
Nearly all files were kept without proper  indexing. They were dumped manually and files could not be traced when reference had to be made.

The situation became even more frustrating due to the fact that both active and inactive records were kept together.

THE SOLUTION:

Our Proposal were as follows to carry out: –

  • Record Inventory and Classification
  • Established a Retention Schedule
  • Advice on Record Creation and Responsibilities
  • Advice on environmental Control, Disaster Prevention and Recovery
  • Records conversion to a digital platform.

We still monitor this from time to time with the aim of improving efficiency.
